Job Description

Key Responsibilities

  • Answer and route phone calls to the appropriate person or department

  • Perform accurate and timely data entry

  • Manage incoming and outgoing mail, including overnight deliveries

  • Process and organize returned mail; contact customers as needed via phone or email

  • Assist in the issuance of vital records, such as birth, death, marriage, and dissolution certificates

  • Learn and follow relevant policies and procedures


 

Requirements/Qualifications

Minimum Qualifications:  Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency. OR Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.

Preferred Qualifications: In-person customer service experience in a public-facing or fast-paced environment. Office experience in public service, including data entry, database use, and handling confidential information.

Knowledge, Skills, and Abilities:

  • A strong understanding of clerical and secretarial tasks, including recordkeeping, database management, and report preparation.

  • Knowledge of customer service practices and relevant policies and procedures.

  • Proficiency in grammar, punctuation, and composition for business communications.

  • Skill in using word processing and data management software.

  • Ability to effectively communicate both in writing and verbally.
