Medical Records Clerk

As the Medical Records Clerk, you'll have the opportunity to be one of our clients' first encounters with Maricopa County Clinical Services. In this role, you will register patients, collect payments, prepare and maintain the electronic medical records for the clients we serve, following HIPPA guidelines.

We Require

  • Six months of experience registering patients in an electronic medical records system in a healthcare setting
  • High School Diploma or GED
  • A combination of post-secondary education and/or job-related experience may substitute for the minimum qualifications on a year-for-year basis 

Other Requirements

  • Must secure and maintain an Arizona Department of Public Safety Level 1 Fingerprint Clearance Card and complete a background check
  • Within one month of hire, all employees will be required to provide evidence of immunity or receive immunizations for vaccine-preventable illnesses for any position within the Maricopa County Department of Public Health; required immunizations include MMR (measles, mumps, rubella), Tdap (whooping cough and diphtheria), Varicella (chickenpox), and annual Influenza; some positions require a Hepatitis B vaccine and/or a Tuberculosis test
  • Must possess or have the ability to obtain a valid Arizona driver’s license by the time of hire
  • Travel will be required to attend conferences, training, and possibly varying work locations

We Also Value

  • Certification as a Public Health or Community Health Worker from an accredited college, or currently enrolled in a Public Health or Community Health Worker program, and eligible to receive a certification within six months of hire
  • Experience gathering data from patients and creating medical records
  • Cashiering or cash handling experience
  • Bilingual skills in English and Spanish

Job Contributions

  • Accurately obtain, verify, and enter client demographic, insurance, and eligibility information into multiple electronic health record (EHR) systems and public health databases while maintaining strict confidentiality standards

  • Review registration and consent documentation for completeness and accuracy; ensure all required forms, authorizations, and signatures are properly completed in compliance with departmental policies and regulatory requirements

  • Perform cashiering and registration functions by collecting fees, processing payments, issuing receipts, and accurately recording financial transactions; reconcile and balance cash drawers and daily payment reports at the end of each shift

  • Maintain, organize, scan, index, and assemble medical records, including laboratory results, imaging reports, and other clinical documentation in accordance with established records management procedures and retention guidelines

  • Process requests for release of patient health information in accordance with HIPAA, state and federal confidentiality laws, and departmental policies; verify authorization documentation and maintain accurate disclosure logs

  • Provide front office and receptionist support by professionally greeting clients and visitors, responding to inquiries, scheduling appointments, assisting with patient flow, and managing a high-volume multi-line telephone system

  • Deliver courteous and culturally sensitive customer service while maintaining professionalism in a fast-paced public health environment serving diverse populations

  • Collaborate with clinical, administrative, and public health staff to ensure accurate records management, efficient clinic operations, and high-quality patient service delivery

Working Conditions

  • This position is typically an office or an administrative work environment and is not substantially exposed to adverse environmental conditions
  • This role is in-person and is not eligible for telework or hybrid work schedules
  • Exerting up to 20 lbs. occasionally, 10 lbs. frequently, or negligible amounts constantly, or requires walking or standing to a significant degree
