Administrative Support Assistant 3

The Iowa Department of Health and Human Services (HHS), Division of Family Well-Being & Protection (FWB&P), Child Care Bureau is seeking an Administrative Support Assistant 3 to join our team!

This is a full-time opportunity. Location is the Lucas State Office Building (321 E 12th St, Des Moines, IA 50319). Core hours are Monday-Friday, 8:00 AM-4:30 PM. This position is expected to be in the office 3 days per week.

This position provides administrative oversight and high-level clerical work related to the Child Care Policy team and is one of the critical points of contact for unit. 

Work duties involve:

  • Verify records within the HHS Early Childhood and School-Age Professional Workforce Registry (i-PoWeR) system.
  • Assist the HHS Quality Program Manager in managing problem reports for the IQ4K IT system. 
  • Send and process follow-up documentation for programs that achieve an IQ4K rating.
  • Attend IQ4K meetings with the HHS Quality Program Manger as requested and as time allows.
  • Create profiles and manage role requests within the i-PoWeR system for licensed exempt centers.

The ideal candidate will: 

  • Have current/relevant administrative support experience.
  • Have current/relevant knowledge of childcare in Iowa.
  • Demonstrate exceptional customer services skills and the ability to establish relationships;
  • Demonstrate excellent judgment and communication skills;
  • Possess the ability to provide good written documentation in a timely manner;
  • Possess the ability to prioritize and work under pressure;
  • Demonstrates integrity and a strong work ethic; and
  • Possess the ability to use independent judgement to make sound decisions.

Qualifications

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:  
  1. Two years of full-time work experience in general office, clerical, data entry/processing, or related work.
  2. A total of two years of education and/or full-time experience (as described in number one), where thirty semester hours of accredited college or university coursework in any field equals one year of full-time experience.
  3. Current, continuous experience in the state executive branch that includes six months of full-time work as an Administrative Support Assistant 2 or eighteen months of full-time work as an Administrative Support Assistant 1.
