Join the Louisiana Office of Public Health as an Administrative Coordinator 3 and play a vital role in supporting community health services across Jefferson Parish and Region One clinics! Requirements

Two years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

  • Serves as intake clerk in public health units, schedules patients for requested services, registers patients, and enters or updates patient information. Contacts interpretation services for patients when required.  
  • To perform these duties the incumbent must use a computer and be adept at local, mainframe, and Internet based programs which may include, using the Electronic Health Record (EHR), LAWIN/Mosaic (WIC management system), LINKS (Louisiana Immunization Network System), LEERS (Louisiana Electronic Event Registration System), Starlims (Laboratory Information Management System), Redcap, Outlook, LA MEDICAID, Microsoft Word, Microsoft Excel, etc.  
  • Solicits income information from clients to determine eligibility for various programs based on federal and state guidelines; assesses appropriate fees based on family income and agency or program fee scales; collects applicable fees and issues receipts using EHR system.  
  • Prepares and deposits fees collected for services to banking institution(s).  Reviews and posts daily pending charges.  Analyzes daily journal activity reports and works in conjunction with nursing staff to reconcile discrepancies.  
  • Answers and routes incoming calls, takes accurate and complete messages; locates numbers and provides general information to callers. Opens and routes incoming mail; stamps outgoing mail using digital postage machine. Greets visitors and provides requested information.
  • Prepares all necessary forms needed for operation of clinic. Maintains draft copies. Scans pertinent information into charts.  Reviews and responds to requests for medical records.
  • Gathers information for reports; maintains confidentiality of patients and employees.   Reports daily PHU activity data to Clerical Supervisor.
  • Performs any and all other duties as assigned by supervisor not reflected in job description, but necessary for a smooth operation of clinics.
