An ideal candidate should possess the following competencies:

Following Policies and Procedures: The ability to follow, reinforce, adapt, or develop policies and procedures to maintain compliance with federal and state legal requirements, State Civil Service rules, and organizational policies.

Requirements

Four years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

  • Assists directors and section staff with administrative operations by interpreting office policies, procedures, and protocols for staff and the public.
  • Manages calendars, schedules meetings and appointments, and coordinates logistics to ensure efficient communication and avoid scheduling conflicts.
  • Prepares meeting materials, agendas, handouts, binders, and teleconference arrangements for staff and leadership meetings.
  • Attends meetings as needed, records notes, and maintains documentation for directors and assigned sections.
  • Coordinates travel arrangements, including preparation of travel authorization and reimbursement documentation in accordance with agency requirements.
  • Answers and screens telephone calls and visitors, providing professional customer service and directing inquiries appropriately.
  • Organizes, maintains, and updates files, correspondence, reports, and tracking systems while providing administrative support such as data entry, document preparation, copying, faxing, and scheduling assistance.
