We are seeking an experienced, proactive, and detail-oriented Administrative Assistant to join our team. This position plays a vital role in supporting daily operations, coordinating administrative processes, managing schedules, and preparing reports to ensure efficiency and productivity across School-Based Services and the agency.

Requirements

Three years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

  • Prepare contracts for school-based personnel, obtain required signatures, and monitor contracts throughout the approval process to ensure timely completion.
  • Assist with purchasing activities by preparing requisitions for supplies, equipment, and program materials.
  • Maintain inventory records, monitor supply levels, and anticipate monthly needs while supporting budget goals.
  • Coordinate data collection and tabulation activities and assist in preparing reports, summaries, and other administrative documents.
  • Design and maintain forms and record-keeping systems that promote efficient operations and accurate data management.
  • Prepare agreements and supporting documentation for partnerships with local school systems.
  • Support outreach and marketing efforts by coordinating meeting schedules, preparing brochures and handouts, and assisting with special events and presentations.
  • Maintain organized files and records while ensuring confidentiality and accuracy.
  • Provide general administrative support to program staff and leadership, contributing to a positive and collaborative work environment.

Position-Specific Details:

Appointment Type: Probational or Job Appointment.
Location: Capital Area Human Services District's School-Based Division (SB).
Work Schedule:  8 hours per day, Monday - Friday.
Compensation:  The actual starting salary depends on the education and experience of the selected applicant.
