Administrative Assistant 1

Apply for this Administrative Assistant 1 role with the Department of Health; Bureau of Community Health Systems; Division of Administration, Finance, and Operations. As part of our Southcentral District Office team, you will utilize DOH policies, procedures, protocols, and the technical parts of administrative support systems to help ensure that resources will be available to respond to public health disasters effectively and adequately. Requirements

This position supports our mission of safeguarding public health by performing a variety of high level administrative and operational tasks that keep district operations efficient and well organized. Our teams will rely on your independent decision-making to prioritize tasks, resolve minor issues, and ensure that bureau activities are implemented in accordance with departmental guidelines. As an Administrative Assistant 1, you will perform the following duties: 


  • Process Improvement: Collect data, analyze district procedures, and propose improvements; participate in ongoing community assessments to help ensure public health needs are addressed
  • Purchasing Oversight: Review purchases for assigned teams, call and meet with sales representatives, and prepare purchasing documents for both office and medical supplies
  • Fiscal and Resource Maintenance: Monitor spending, process business transactions, track supplies, maintain documentation, and organize audit materials
  • Administrative Support: Code overtime, adjust work schedules, answer human resource timekeeping questions, and complete other office assignments as needed
  • Staff Training: Provide administrative training to field clerical staff and other personnel
  • Quality Control: Perform quality control functions for the work performed to ensure effective utilization and appropriate distribution of public health resources for the district


This position is part of the Southcentral District Office, which is headquartered in Dauphin County and serves the following counties: Adams, Bedford, Blair, Cumberland, Dauphin, Franklin, Fulton, Huntingdon, Juniata, Lebanon, Mifflin, Perry, and York.

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:00 AM to 4:00 PM, Monday - Friday, with a 30-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time, up to three days per week. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time. Additional details may be provided during the interview.
  • Salary: In some cases, the starting salary may be non-negotiable.

Qualifications

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Such training as may have been gained through graduation from a four year college or university; or 
  • Any equivalent combination of experience and training.

  • You must be able to perform essential job functions.
