Vital Records Supervisor

This position provides supervisory leadership and operational oversight for the Vital Records Office. The Registrar ensures accurate issuance, amendment, and protection of vital records in compliance with Georgia law, public health regulations, and customer service excellence standards. The role promotes equitable access to services, drives process improvement, and supports modernization initiatives that enhance efficiency and public trust.

Requirements

  • Supervise and coordinate daily Vital Records operations including issuance, amendments, and customer service delivery.
  • Ensure compliance with Georgia statutes, public health regulations, HIPAA requirements, and records security protocols.
  • Resolve complex eligibility, documentation, and service escalation issues involving customers and partner agencies.
  • Oversee cash handling, reconciliation, reporting, and audit readiness for fee-based services.
  • Oversee daily operations of the Vital Records Department in a courteous and professional manner.
  • Implement workflow improvements and operational efficiencies.
  • Collaborate with courts, coroner, hospitals, funeral homes, physicians, law enforcement, and state agencies.
  • Support operational planning, policy implementation, and continuous service improvement initiatives.

Qualifications

High school diploma/GED and (5) years in a lead worker, team leader, or supervisory role communicating information in a customer service setting; or two (2) years of experience required at the lower level Customer Svc Rep 3 (GST122).

PREFERRED QUALIFICATIONS:


Preference will be given to applicants who in addition to meeting the minimum qualifications also possess the following:


  • Associate’s or Bachelor’s degree in Public Administration, Business Administration, Health 
  • Administration, or related field.
  • Experience in Vital Records, healthcare administration, government services, or regulatory compliance programs.
  • Bilingual proficiency (English/Spanish or other high-need language) to support equitable public service access.
  • Experience managing cash accountability processes or fee-supported public services.
  • Knowledge of Georgia Vital Records laws, eligibility requirements, and records amendment procedures.
  • Experience with process improvement, performance metrics tracking, or operational modernization initiatives.
