Elevate your career by joining the Facilities Management team of the Minnesota Department of Health (MDH) working in a temporary role at our St. Cloud district office!

This position requires work that is onsite Monday-Friday, 8:00 a.m. - 4:30 p.m.

The purpose of this position is to provide varied and wide-ranging support services to district office clients and professional staff.

Working as an Office & Administrative Specialist Senior, you will:

  • Provide services at the St. Cloud District Office including front desk reception operations and Facilities Management building operations.
  • Act as the liaison with landlord representatives and vendors to facilitate security and emergency actions, and facility maintenance and repairs.
  • Manage general office operations to provide a well-managed district office infrastructure that meets the needs of the assigned program staff.
  • Provide varied and wide-ranging office support services so that district program staff is provided quality, efficient and effective support services required to accomplish program mission and goals.
  • Monitor and maintain the operation of the various communications technology systems, serve as the liaison with MN.IT to ensure telephone and video conferencing equipment are functional for client use.
  • Coordinate the hotel workstation equipment bundle, including set up and functionality.
  • Assist other District Offices remotely to maintain Facilities Management guest services support and service portfolio.  
  • Perform tasks as assigned by the supervisor in support of team activities or accomplish the goals of the district office operations.

This is a temporary position with an anticipated end date of 11/30/2026.  There is a plan that this position will be posted as a permanent position later in 2026.

MDH relies heavily on grant funding, in addition to state appropriated dollars. As an agency, we continually monitor funding levels and navigate some degree of uncertainty related to grant cycles and the impact of the grant funding on program priorities.  

This position is currently funded and approved to be filled. While the position is funded at this time, future funding is dependent on the continuation of our funding sources. The Minnesota Department of Health works proactively to sustain programs and maintain our workforce, to avoid reductions in force to the very best of our ability. In the event of a loss of funding resulting in a necessary workforce reduction, that process is governed by our collective bargaining agreements and compensation plans. 

Minimum Qualifications

To facilitate proper crediting, please ensure that your resume clearly describes your experience in the areas listed and indicates the beginning and ending month and year for each job held.

One (1) year of experience that must include all the following:

  • Experience using word processing and spreadsheet software applications such as MS Office Word, Excel and Outlook sufficient to create, modify, and proofread documents or correspondence with extremely high detail, correct spelling, grammar and accuracy.
  • Customer service and communication skills sufficient to provide courteous, effective, and timely service and to explain policies and/or processes to internal and external customers.
  • Database management skills sufficient to carry out advanced administrative tasks and compile accurate information.
  • Ability to manage calendars and schedule meetings.
  • Typing/keyboarding skills sufficient to perform skilled typing tasks with speed and accuracy.

Qualifications to be assessed during the interview process:

  • Ability to establish and maintain effective working relationships.
  • Ability to work efficiently and effectively independently, under strict timelines, with a high volume of work and high level of accuracy.
  • Ability to carry out complex verbal and/or written instructions and provide instructions to others.
  • Ability to solve problems in a diplomatic way, such as dealing with customers, who may be frustrated or angry.

Preferred Qualifications

  • Previous experience researching information, analyzing reports and conveying pertinent information.
  • Experience using a variety of software and office technology systems such as Microsoft Products (Word, Excel, PowerPoint, Outlook, SharePoint, MS Teams).
  • Previous front desk operations experience such as guest check-in, handling the outgoing and incoming mail/courier packages and interacting with the public in a highly visible position.
  • Knowledge of general expense or accounting procedures.
  • Building operations experience such as cleanliness, functionality, reporting and scheduling interior and exterior maintenance.

Physical Requirements

  • Ability to transport up to 25lbs of articles, such as file boxes across a room.
  • Ability to move through a building.
  • Ability to maintain stationary position for long periods of time.
