Mobile Vaccine Response Team Administrative Specialist III

Public Health – Seattle & King County's Mobile Vaccine Response Team has an exciting opportunity available as a Mobile Vaccine Response Team Administrative Specialist III.  

This posting will create a list of qualified candidates that may be considered for selection of additional vacancies of the same position type over the next 6 months.


Position Summary

In this role you who will work in close collaboration with the Mobile Vaccine Response Team members, members of the Immunization Branch, Vaccine Preventable Disease (VPD) Investigations and Response Team, and other members of the Communicable Disease Epidemiology and Immunization (CD-Imms) Section to support vaccination efforts to mitigate the risk of large or disruptive vaccine-preventable disease outbreaks in under-immunized communities and to provide rapid post-exposure prophylaxis in settings where risk of exposure to a confirmed case is high. As a member of the Mobile Vaccine Response Team, you will support vaccination clinics in non-traditional settings such as shelters, schools, places of worship, and community sites throughout King County. This position will report to the Healthcare and VPD Outbreak Response Program Manager.


Background

The Communicable Disease Epidemiology and Immunization Section resides within the Prevention Division of Public Health – Seattle & King County and focuses on three major functions: disease surveillance, case investigation, and intervention. The Section is led by the Chief and Deputy Chief and is composed of four teams: Investigations, Analytics and Informatics, Immunization, and Administration. We are a large, skilled, passionate team of nearly 100 staff that oversees 65+ reportable diseases and conditions (excluding TB, STI, and HIV) from healthcare professionals and laboratories in King County. Some of our work includes investigating cases and identifying exposed persons requiring follow-up; analyzing disease report data and trends to identify opportunities for disease prevention; monitoring emergency department visits for indications of outbreaks or biological terrorism; and conducting disease surveillance year-round. We also lead pro-equity immunization strategies to improve vaccination among priority populations. Cross collaboration across branches and teams is central to our workflow and each team supports one another to achieve the objectives of the section. Populations of focus include people experiencing homelessness and newly arrived immigrants seeking asylum.

Public Health – Seattle & King County ("PHSKC",  "Public Health", or "the department") is the Public Health Department for King County, Washington which includes 39 cities, including the City of Seattle, and unincorporated areas. Public Health is one of the largest metropolitan health departments in the United States with about 1,600 employees. Work Schedule
Monday through Friday, 8:00 am to 5:00 pm, 40 hours per weekThis position is designated as hourly/non-exempt under the regulations of the Fair Labor Standards Act (FLSA), which means it is overtime-eligible. You must receive prior approval from your supervisor before working any necessary overtime hours to meet your position responsibilities.


Work Location
Chinook Building – 401 5th Avenue, Suite 1200, Seattle, WA 98104. This position will be required to report to mobile vaccination sites/clinics throughout King County.


Remote and Onsite Work

The Immunization team works in a hybrid model, with days in the office as well as telecommuting. The ratio of remote to onsite work will be dependent on business needs and is subject to change. 


Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.


King County has a robust collection of tools and resources to support working remotely. The individual selected for this opportunity will join an innovative and progressive team that is redefining how we work as we transition to the department's hybrid environment. Employees will be provided with a County-issued laptop and must maintain a home workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours.


Requirements

Areas of responsibility include:
  • Providing administrative and logistical support to the Mobile Vaccine Response Team which coordinates vaccination clinics in a variety of settings throughout King County.
  • Overseeing all aspects of vaccine inventory, storage, and handling.
  • Medical record management and documentation. 
  • Conduct outreach and vaccination clinics at shelters, houses of worship, low-income senior housing sites, etc.
  • Respond to referrals for mobile vaccination clinics from community-based organizations, homeless service providers, and other partners.
  • Respond to inquiries about Mobile Vaccine Response Team vaccination clinics.
  • Partner with Mobile Vaccine Response Team colleagues to proactively manage mobile team daily schedule and staffing.
  • Update and create forms, other materials, and processes as needed for the Mobile Vaccine Response Team.
  • Inventory clinical and office supplies on a routine basis and order as needed.
  • In consultation with Healthcare, VPD Outbreak Response Team Manager, and Mobile Vaccine Response Team Nurses, manage vaccine inventory following Department of Health (DOH) and Federal Guidelines.
  • Complete monthly accountability reporting per Washington DOH Adult Vaccine Program and Childhood Vaccine Program requirements.
  • Enter vaccine administration data into Washington Immunization Information System (WAIIS).
  • Perform daily Health Information Management (HIM) operations at the vaccination clinic site.
  • Perform daily quality assurance to ensure completeness of medical records and corresponding immunization documentation in WAIIS.
  • Enter vaccine site and patient data into Mobile Vaccine Response Team REDCap project to enable data analysis and reporting.
  • Other duties as assigned.

Qualifications

  • Demonstrated ability to maintain confidentiality of protected health information at all times.
  • Demonstrated knowledge and ability to comply with HIPAA, Federal and State regulatory principles and guidelines.
  • Demonstrated knowledge of proper release of patient information including understanding of Federal and State laws and regulations that govern the release of information (ROI).
  • Demonstrated knowledge and ability to apply various records retention guidelines.
  • Strong communication and interpersonal skills and the ability to work independently as well as part of a team in a collaborative, team-centered environment.
  • Demonstrated flexibility and experience working in a variety of settings.
  • Skilled in relating to and working with clients from various cultures, racial and social and economic status.
  • Proficiency and ease in using Microsoft Office applications (SharePoint, Outlook, Word, Excel).
  • Experience building and maintaining SharePoint pages, libraries and lists.
  • Demonstrated ability to move up to 50 pounds to transport boxes, vaccine equipment (e.g., coolers), and office and clinic supplies. (this may involve intermittent lifting, standing stooping, bending and reaching throughout the workday) this will be tested
The most competitive applicants will have the following experiences and qualifications (Desired):
  • A basic understanding of vaccine preventable diseases and immunizations.
  • Understanding of and familiarity with homeless and social services, affordable housing in King County, and local related community resources.
  • Lived or professional experience working with people experiencing homelessness and/or newly arrived immigrants seeking asylum.
  • Intermediate skills with SharePoint Lists, MS Forms, and Power Automate.
  • Bilingual in one of the most common non-English languages in King County (such as Spanish, Arabic, Somali, Hindi, Punjabi, Chinese, Vietnamese, Korean).
