Medical Records Clerk

As the Medical Records Clerk supporting our Community Immunization Outreach Team, you’ll be the welcoming presence clients meet at community outreach events and, at times, in our main immunization clinics. Your role helps ensure every person who comes for a vaccine feels supported, informed, and valued. You’ll guide clients through check‑in and registration, answer basic questions, and help create a smooth, positive experience from the moment they arrive. You’ll collect and enter demographic and insurance information with accuracy and attention to detail, and you’ll ensure all required program forms are completed and properly acknowledged.

Because you work with sensitive health information, you’ll also play a key role in protecting client privacy by following all confidentiality laws, regulations, and departmental policies.

We Require

  • Six months of experience in a healthcare or medical office setting

  • High school diploma or GED

  • Related post-secondary education may substitute for the required experience on a year-for-year basis

Other Requirements

  • Must possess or have the ability to obtain a valid Arizona driver’s license by the time of hire

  • Current CPR certification or ability to obtain by the time of hire

  • Within one month of hire, all employees will be required to provide evidence of immunity or receive immunizations for vaccine-preventable illnesses for any position within the Maricopa County Department of Public Health; required immunizations include MMR (measles, mumps, rubella), Tdap (whooping cough and diphtheria), Varicella (chickenpox), and annual Influenza; some positions require a Hepatitis B vaccine and/or a Tuberculosis test

We Also Value

  • Associate’s degree in business administration, healthcare administration, or related field

  • Certification as a Public Health or Community Health Worker from an accredited college, or currently enrolled in a Public Health or Community Health Worker program

  • Knowledge of medical terminology, electronic medical records, and healthcare compliance standards

  • Bilingual skills in English and Spanish

Job Contributions

  • Prior to participating in the community events, you must be able to assist with setting up the venue where the event will be hosted and packing up items after the event is completed

  • Provide welcoming, customer-focused service by greeting clients upon arrival, assisting them through the registration process, answering basic questions, and ensuring each interaction is courteous, professional, and supportive

  • Obtain and enter client demographic and insurance information into various computer programs; ensure appropriate forms are correctly acknowledged and signed by the client

  • Ensure all required forms are completed, acknowledged, and signed by clients in accordance with program requirements

  • Safeguard all patient information in compliance with applicable laws, regulations, and departmental policies. Ensure proper handling, storage, and release of records in accordance with confidentiality standards

Working Conditions

  • The position is typically office or administrative work and is not substantially exposed to adverse environmental conditions

  • Exerting up to 20 lbs. occasionally, 10 lbs. frequently, or negligible amounts constantly, or requires walking or standing to a significant degree

  • Work is performed at community events, mobile outreach, or indoors in a high-volume, clinical office setting while interacting with a diverse population and working in a team environment

  • Must be able to participate in emergency response training as scheduled and be available to respond as directed in the event of a public health emergency

  • Telework or remote work is not an option for this position
