Why does the job exist?

 
This position exists to ensure the efficient, accurate, and customer¿focused operation of the Vital Records Call Center. The role supports the public by answering inquiries, locating and issuing birth and death certificates, processing credit card orders from a third¿party vendor, and managing both incoming mail and related correspondence. These functions are essential for maintaining timely access to vital records, supporting legal and personal documentation needs, and upholding the integrity and workflow of the Vital Records Office. The position also helps maintain customer satisfaction and operational efficiency by requiring strong communication skills, a pleasant phone presence, and dependable data¿entry abilities.

How does it get done?

 
This position is responsible for processing all incoming mail in a mail¿room setting, including reviewing, sorting, logging, tracking, and filing applications by type. The role also separates and logs specialized documents such as Hospital and Midwife AOPs, foreign¿born adoptions, and certified mail, and delivers them to the designated units for required signatures. In addition, the position is stationed in the Vital Records Call Center, where it answers customer inquiries, performs record searches, and issues birth and death certificates. Additional duties include preparing and responding to correspondence and processing customer credit¿card orders received through a third¿party vendor.

Who are the customers?

 
Customers are citizens and non-citizens who were born in New Mexico and family members of individuals who have died in New Mexico.

Ideal Candidate

 
Experience in providing direct customer service to the public; Able to communicate effectively both verbally and in writing; Experience in reading and interpreting legal documents. A team player who
works well with customers and co-workers. Good at using Keyboard and mouse; Experience in Microsoft Excel and Word; Polite speaking voice; experience in answering phones or has worked in a Call Center.

Minimum Qualification

 
High School diploma or equivalent.

Employment Requirements

 
Must possess and maintain a valid Driver's License. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification within six (6) months of date of hire as a condition of continued employment.

Working Conditions

 
Office environment. Frequent long periods of sitting and working on a personnel computer. Occasional but essential bending or twisting at the trunk. Occasional but essential squatting, stooping, kneeling and reaching above the head. Must be able to lift 25 lbs.. Continuous close exposure to VDT's, CRT's, or UV rays. Occasional but essential working in loud noise areas. Required to frequently meet deadlines with severe time constraints. Continuous interacting with the public required to include occasional irate customers. Frequent multiple demands from several people.
