Credentialing Specialist (HSC 1) DOH8833


This home-based (remote) position is open to Washington residents.

This project position is currently funded through June 30, 2027.


The Opportunity

This position serves as an entry level professional, promoting and assisting with health licensing, a public health program closely linked to the Department's mission, by performing credentialing activities, including evaluation of applicant ability to qualify as health care practitioners, facilities and/or emergency medical providers, which tie directly to improving patient safety and fostering access to health care in Washington, important priorities for the Department of Health and Washington State.


As part of a high-performance team, the Credentialing Specialist (HSC 1) performs Health Professions, Emergency Medical Services (EMS), Facilities Credentialing, background checks, criminal history and previous administrative licensing action, reviews credentialing functions to promote and assist with the evaluation of compliance with public health programs and licensing standards.


Key Responsibilities Include:

  • Application Intake 
  • Reviews, evaluates and assesses incoming applications for completeness, accuracy, signature, and adherence to established departmental policy, procedure, state laws, regulations, and other credentialing requirements, standards and practices.  
  • Verifies and obtains information about applicants/applications by searching on-line databases and other resources, and by communicating with representatives of DOH programs, state and local government agencies, educational and credentialing/licensing institutions, and other outside organizations.  
  • Initiates or explains actions necessary for applications to achieve eligibility/compliance.  


  • Customer Interactions
    • Provides consultation and education on health care professional and/or facilities credentialing to providers, customers, community partners and/or other external bodies, including out of state and in-state verification of employment.  
    • Prepare and send letters, e-mail correspondence, acknowledgements, notifications, requests for documentation/information, and responses to inquiries from the public, health care facilities, and other organizations.  
    • Explain and answer questions regarding application and endorsement processes, regulations, and eligibility requirements.  


  • Document Management
    • Tracks pending applications, noting reasons for pending status and actions taken to achieve compliance with credentialing requirements.  
    • Maintains, crosschecks and updates credentialing database for accuracy and resolution of discrepancies.   Compiles and organizes applications for accurate filing and records retention.  


  • Quality Assurance Efforts
    • Coordinates processing interactions among HSQA work units and programs in order to keep workflow and applications moving toward completion; shares information and suggestions, and facilitates implementation of strategies to assure quality services.
    • Updates procedure manual and other reference materials in order to ensure information is current and available.  
    • Determines if there is a risk of compromising patient safety, and advises management if there is imminent danger, making sure to report all adverse credentialing concerns.

Required Qualifications 

There are multiple pathways to qualify for this position. You must meet one of the options provided and any additional criteria listed. Option 1: One or more years of experience in credentialing or licensing.


Option 2: Associate degree or higher education.


Additional Required Knowledge, Skills, Abilities, and Experience

  • Two or more years resolving customer inquiries, problems or complaints in a high production environment.
  • Six or more months experience and an ability to use computer software as follows:
    • Word processing software, such as Microsoft Word, to create, format, edit, preview, print, and save documents.  Use standard functions to select, edit, copy, paste, format, and spell check text.
    • Electronic communications and calendar programs, such as Outlook, to compose, send, and respond to electronic mail, and coordinate schedules and schedule meetings.
    • Electronic database system to update and/or maintain records.
    • Accessing and searching Internet to find and download information.

Preferred Qualifications

While these aren’t required, having them can help you stand out as a candidate.

  • One (1) or more years of analytical experience reviewing documents and taking appropriate action based on an analysis of the information. 
  • Two or more years (full-time equivalency) of credentialing or licensing experience.
  • Two or more years of demonstrated knowledge and understanding of commonly-used concepts, practices, and procedures within particular field of DOH credentialing.

Working Conditions:

The following describes the working conditions of this position, with or without reasonable accommodation.


Work Setting:

  • This position's work can be performed fully remotely. No regular in-person attendance is required. If onsite work is requested by the supervisor, the request will be planned and communicated in advance.
  • Exposure to hazards is limited to those commonly found in indoor at home or office environments.
  • The position requires performing repetitive work using a computer for the majority of the workday.


Schedule:

Standard DOH business hours are Monday to Friday 8:00 a.m. to 5:00 p.m.; however, an alternate or flexible work schedule may be considered at the employee's request, subject to supervisory approval. The position would not normally require working in excess of 40 hours per week, but if it became necessary for business needs, your supervisor would notify you in advance.


Travel Requirements:

Travel is not required to perform the duties of this position; however, occasional travel may be expected to attend meetings, trainings, or conferences.


Tools & Equipment:

This position uses standard office furniture and equipment, such as a desk, office chair, cell phone, computer, monitor(s), keyboard, and mouse.


Customer Interactions:

The position requires daily interactions on the telephone and in writing with customers, some of whom may be upset, frustrated, or irate.


Other:

  • This position is covered by a bargaining unit for which the Washington Federation of State Employees (WFSE) is the exclusive representative.
  • The duties of this position may require the incumbent to complete an identity verification/validation process to gain authorized access to the National Practitioners Data Bank system to perform the essential functions of the position. This verification/validation process may require the incumbent to provide government-issued identification, current photo/image, social security number and credit report information.
