Administrative Specialist II




The Administrative Specialist II (ASII) role is key in assuring a welcoming, friendly and respectful environment for members of the local community. The ASII provides welcoming services on the phone and at the front desk for clients seeking services, as well as administrative support functions for First Steps and other team members. 

The ASII works closely with their supervisor and the Parent Child Health (PCH) team which includes Registered Dietitians, Public Health Nurses, Social Workers, Community Health Workers, Nutrition Assistants and Administrative Support staff to provide services to families within the local community. This position primarily supports our First Steps (Maternity Support Services & Infant Case Management) program and may also be cross trained to support other programs and services at the site, and at times at other sites in order to meet business needs. Our clients are culturally, socially, and linguistically diverse. This position has the opportunity to be a warm and welcoming face of public health to the community by greeting clients at the front desk, and by being the first friendly contact with new clients when scheduling clinic or field home visits; applicants should be committed to working with diverse populations to provide excellent customer service to people from a broad range of cultures, communities, backgrounds, and experiences, including people experiencing homelessness and mental illness. This position supports and advances the Community Health Services Division's values for fair and equitable service delivery, innovative, effective, and efficient application of resources, building a culture of performance, expanding opportunities to seek input, listen, and respond to clients.

Work Schedule

Monday through Friday 8:00am-5:00pm 


Work Location

Columbia Public Health Center 4400 37th Ave S, Seattle, WA 98118 - must be able to also travel to White Center at Greenbridge Public Health Center at 9934 8th Ave, SW, Seattle, WA 98106;  1 - 3 days per week or as needed. 


Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements. 


Requirements

ASII responsibilities include, but are not limited to: 
  • Welcoming all clients, providing exceptional customer service, which includes treating all people with respect and warmth.
  • Utilizing language interpreters when appropriate to meet clients' needs.
  • Identifying when triage by a healthcare professional is necessary, and quickly identifying potential emergency situations.
  •   Registering clients, requesting financial and insurance information, verifying insurance coverage, calculating fees, collecting payments, and scheduling appointments
  •   Scheduling and arriving clients in the electronic health record; problem-solving around coverage issues which may impact billing.
  •   Coordinating patient and information flow while maintaining patient confidentiality, and complying with Federal HIPAA laws
  •   Making appointment reminder and outreach phone calls, making copies, faxing, and other general office and clerical duties
  •   Cross-training to help support other site programs and site responsibilities during staffing shortages

During and after client visits, responsibilities include:

  • Accurately completing documentation and data information for billing in a timely fashion  
  • Processing referrals for field staff


Other duties include using a variety of computer programs including:

  • Epic (an electronic health record program)
  • Microsoft Office products

Qualifications

Ideal Candidate:
  • Experience working in a healthcare environment.
  • Experience with the EPIC electronic health records system or experience with any other electronic health records system.
  • Experience working with diverse populations, such as individuals of different ages, races, ethnic groups. 
  • Skilled in Microsoft Office programs.
  • Commit to providing exceptional customer service with compassion and patience, are approachable, are effective listeners, and will enjoy working with people from a variety of cultures, communities, backgrounds, and experiences.
  • Are computer-savvy and able to learn to use new computer programs and technical tools quickly.
  • Are action-oriented and able to quickly prioritize, use time effectively and efficiently, are skilled at identifying and eliminating barriers, and are willing to ask for help to accomplish tasks.
  • Enjoy working with a team, are cooperative, encourage collaboration, and can work with teammates to find collectively beneficial solutions.
  • Maintain confidentiality of client information.
  • Can maintain their composure under pressure.
  • Are committed to working with diverse populations with cultural humility.
  • Able to move up to 25 pounds in order to move boxes, retrieve health records, or replenish office supplies without reasonable accommodation.

Desired Candidate:
  • Demonstrated knowledge and working experience with electronic medical records and patient services 
  • Demonstrated knowledge and experience working with electronic health records 
  • Demonstrated knowledge and experience working within a multi-disciplinary team 
  • Demonstrated knowledge and experience with managing multiple priorities 
  • Demonstrated effective time management skills 
  • Washington State Driver's License or the ability to travel efficiently within the designated territory 
  • Bilingual language skills in Spanish
