What You'll Do: ODH is seeking to fill an Administrative Professional 4 position within the Office of General Counsel (OGC). This position will perform non-routine administrative tasks & provide secretarial support. This position will:

  • Participation in Department of Health emergency preparedness activities may be required, consistent with public health authority and emergency response plans.
  • Assist in the program direction of the OGC by relieving the administrator of difficult administrative duties
  • Independently answer complex correspondence, transmit decisions & directives regarding issuance of subpoenas, payment of witness fees, & follows through with appropriate sheriff’s offices to ascertain service
  • Schedule & prepare notifications for multi-party hearings around the state, & independently follow through with notifications to appropriate parties in case of withdrawals of requests or rescissions of notices
  • Respond to non-legal inquiries from program staff & public regarding processes (e.g., administrative hearings, contracts)
  • Routinely review form letters for accuracy & drafts/suggests changes
  • Draft memos for attorney signature to Attorney General’s (AG’s) office requesting representation in court cases
  • Maintain fiscal records on computer spreadsheets for hearing examiners, advise supervisor & GC when hearing examiner expenses near contractual limits or when encumbrances are inadequate
  •  Greet/direct visitors, screen & forward incoming calls to the appropriate party
  • Work with vendors to obtain bids for various expenditures following fiscal requirements & guidelines, submit the supporting documentation in the required time frame & monitor the required approvals
  • Maintain the Bureau of Alcohol and Drug Testing scheduling calendar upon receipt of subpoenas adhering to statutory requirements & process Motion to Quash requests with AG’s Office (i.e. requests for representation)
  • Use personal computer, word processing software, & ODH specific tracking software to generate contract requests, purchase orders, & contract amendments

Qualifications

30 mos. exp. or 30 mos. trg. in secretarial/administrative professional field. 

-Or completion of associate core coursework in secretarial science or business office applications from accredited career school or community college AND 12 mos. exp. in secretarial/administrative professional field. 

-Or 12 mos. exp. as Administrative Professional 2,16872. 

-Or equivalent of Minimum Class Qualifications For Employment noted above.

Unless required by legislation, the selected candidate will begin at Pay Grade 10, Step 1 of the Exempt Pay Range Schedule ($26.92 per hour), with an opportunity for pay increase after six months ($28.40 per hour) of satisfactory performance and then a yearly raise thereafter.
