The Office of Aging and Adult Services (OAAS) is seeking a motivated and organized professional to provide high-level administrative support in its New Orleans Regional Office. In this role, you'll assist regional leadership in ensuring vital programs for older adults and individuals with adult-onset disabilities run smoothly and effectively.

Requirements

Three years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

  • Serve as the primary point of contact for the office by answering and triaging phone calls, managing email inboxes, scheduling appointments via Outlook and Zoom, and ensuring inquiries and tasks are routed appropriately.
  • Perform administrative and clerical support functions including printing and mailing notices, maintaining paper and electronic files, and ensuring document retention and disposal comply with Secretary of State Policies.
  • Manage payroll and timekeeping responsibilities for OAAS regional office staff, ensuring accuracy, timeliness, and compliance with applicable policies.
  • Maintain and track program and compliance documentation by managing NVRA records, tracking and filing PSH applications, assisting with PSH data entry, and preparing required reports.
  • Oversee office operations and resources by ordering supplies, maintaining inventory, and ensuring office equipment remains in proper working condition.
  • Manage property control and safety compliance by maintaining equipment and furniture records across multiple regions, supporting ORM safety policies, and actively participating in property control audits.
