Join a fast-paced and impactful role as an Administrative Coordinator supporting Parish and Regional Office operations. This position offers the opportunity to serve as a central hub for administrative, operational, and financial functions—ensuring programs run efficiently while supporting field staff and leadership. Following Policies and Procedures: The ability to follow, reinforce, adapt, or develop policies and procedures to maintain compliance with federal and state legal requirements, State Civil Service rules, and organizational policies.
Managing Resources: The ability to manage financial, physical, and contractual resources to ensure compliance and maximize business value.

Requirements

Three years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

  • Provide comprehensive administrative support, including screening calls and visitors, and preparing correspondence, reports, and official documents for leadership 
  • Ensure accuracy and accessibility of current forms and documents for both public use and internal distribution 
  • Review and process staff travel authorizations prior to final approval, ensuring completeness and compliance 
  • Coordinate and document meetings by preparing agendas, attending sessions, and recording minutes as needed 
  • Maintain and update the Sanitarian Event Tracking System, including entry of onsite wastewater applications and service visits 
  • Organize and coordinate field inspection schedules and routing for staff to optimize operational efficiency 
  • Receive, document, and track public complaints related to permitted or licensed facilities within the parish 
  • Manage payroll functions, including time and attendance entry, reconciliation of payroll reports, and maintenance of employee records 
  • Procure goods and services in accordance with state guidelines, process payments, and allocate purchasing card transactions to appropriate budget codes 
  • Support overall office operations by assisting with additional programs and duties as assigned to maintain efficiency across Regional and Parish offices
