This Administrative Coordinator 3 position plays a vital role in supporting a wide range of public health programs, including Reproductive Health, Immunizations, WIC, HIV, Tuberculosis, Vital Records, and other essential services. The incumbent serves as a key point of contact for patients and visitors, provides clerical and data support, assists with eligibility screening and fee collection, and helps ensure clinic operations run smoothly. This role also supports vital records functions, community outreach, and emergency preparedness efforts, making it an excellent opportunity for a detail-oriented professional who enjoys working in a fast-paced, service-driven healthcare environment.

Requirements

Two years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

  • Provide comprehensive clerical and administrative support for multiple public health programs, including Reproductive Health, Immunizations, WIC, HIV, STD, Tuberculosis, Genetics, Child Special Health Services, and Vital Records.
  • Serve as the primary point of contact for patients, clients, and visitors by answering and routing telephone calls, greeting the public, interviewing and screening patients to determine program eligibility, and assessing and collecting service fees.
  • Perform accurate data entry across multiple computer systems, schedule and maintain patient appointments, and ensure appropriate follow-up in accordance with nursing or medical care plans.
  • Support Vital Records operations by serving as a Local Deputy Registrar, issuing certified copies of death certificates, maintaining strict security and confidentiality of records, and properly collecting and processing fees.
  • Manage pre- and post-clinic administrative activities, including preparing clinic forms, posting patient charges, ensuring proper time entry and payroll coding, and completing travel expense reimbursement requests through LEO.
  • Participate in staff meetings, trainings, community outreach events, and emergency preparedness activities, including deployment under the Incident Command System during regional or statewide emergencies, while maintaining authorized driver requirements and knowledge of applicable federal, state, and agency policies.

The ideal candidate should possess the following: 

Public Customer Service Experience, Medical Office Experience, Maintaining Medical/Healthcare Provider Schedules, and Data Entry experience
