Requirements

  1. Provides ongoing administrative support that includes but is not limited to drafting and creating original letters, memos, tables, charts, presentations, reports and other documents as requested.  Provides similar support to other divisions as assigned.
  2. Assists in budget expenditure tracking.
  3. Coordinates calendar of activities, meetings and events as well as answers phones, taking and relaying messages.
  4. Assists in the preparation of contracts and grants requiring submission to Commissioners Court.
  5. Manages files, personnel requests, and mileage records.
  6. Coordinates travel arrangements, prepares and submits travel requests for approval, makes reservations, and prepares and submits reimbursement requests for personnel as assigned.
  7. Compiles and inputs data into various systems as assigned.
  8. Performs purchasing functions including finding vendors, obtaining quotes, submitting requisitions, and tracking requisitions for all maintenance, repairs, supplies, etc.  Processes invoices and requests P.O. that be closed once items are received and invoices paid.
  9. Coordinates and inputs maintenance request for area workspaces, equipment, copiers, etc.
  10. Maintains tracking of area’s capital equipment and physical inventory.
  11. Serves on department committees as assigned.
  12. Performs other duties as assigned.

Qualifications

High school diploma or GED.  Five (5) full-time years progressive administrative experience, preferably in a public agency setting dealing with the public and business community. Bachelor’s degree may substitute for up to four (4) years of experience.   Associate’s degree may substitute for up to two (2) full-time years of experience.  Must possess a valid driver’s license.  Ability to manage in a fast-paced office environment, providing administrative support for the Associate Director, Business Manager, and Public Health Facility.  Abilities to establish priorities and respond to a wide variety of requests from professional staff, partner agencies and organizations are essential. Communication skills required.  Ability to enter requisition and draft reports, letters, and memos.  Interpersonal skills to interface with department staff and partner agencies and organizations.  Computer skills in word processing, spreadsheet, presentation, and database management software.  Purchasing experience and knowledge of basic conversational Spanish is desirable.
