Come join our team! As an Administrative Assistant II with the North Central Health Districts Children’s Medical Services program, you will join a dedicated group of public health professionals who support the mission and vision of protecting the lives of Georgia residents in a variety of ways.

Requirements

Under general supervision, Administrative Assistant II performs a wide range of complex office and program administration duties in support of assigned functions and service areas. This position serves as a key point of contact for internal and external customers, managing communications, scheduling, referrals, enrollment, billing support, and clinic operations. Duties involve access to confidential information and require the ability to research, investigate, and resolve program-related data or issues. Administrative Assistant II drafts and maintains documentation, reports, and records, supports outreach and special initiatives, and represents the program by providing accurate information and administrative assistance while ensuring compliance with all applicable policies and regulations.


Primary Duties & Responsibilities  

  • Serve as primary phone and email contact, scheduling appointments and responding to inquiries
  • Complete, assign, and track referrals; maintain referral logs and M&M system
  • Verify Medicaid eligibility; process enrollments, CMO exemptions, and client discharges
  • Maintain accurate client records, active client lists, and discharge documentation
  • Prepare and mail notification letters, reminders, and discharge confirmations
  • Coordinate billing activities including posting payments, rebilling denials, and generating reports
  • Support Sickle Cell, Genetics, and telemedicine clinics, including patient check-in, scheduling, paperwork, and supply coordination
  • Manage inventory, requisitions, purchasing documentation, and vendor coordination
  • Retrieve and process mail, certified mail, and shipments
  • Assist with quarterly CMS reports, outreach events, and health fairs
  • Provide administrative support for meetings, trainings, committees, and front desk coverage as needed
  • Ensure compliance with HIPAA and all CMS, state, and district policies
  • Provide administrative support during public health emergencies as requested
  • Performs additional professional responsibilities as assigned.

Qualifications

High school diploma/GED and three (3) years of job-related experience; or One (1) year of experience required at the lower-level Admin Assistant 1 (GST050) or position equivalent.

The use of physical activity breaks during the workday is authorized to support this philosophy and help employees meet their wellness goals. A maximum of 30 minutes of physical activity may be allocated per workday, typically in the form of two 15-minute breaks or one 30-minute break.

State of Georgia employees are subject to the rules of the State Personnel Board regarding salary.

DPH accepts educational credentials recognized by the Council for Higher Education Accreditation (CHEA) and/or the US Department of Education (DOE) as valid. DPH will contact educational institutions to verify degrees, diplomas, licensures, and other relevant credentials.

The candidate selected for this position may be subject to pre-employment drug screening and a criminal background check.
