Why does the job exist?

 
The accountant position prepares voucher payments, tracks transactions, completes timely account reconciliation, and ensures all transactions are accurately recorded accurately. Ensures closing of each fiscal year has minimal to no accruals and or prior years. Will communicate with vendors, internal departments, and team members regarding matters to resolve issues and or to obtain information needed to ensure payment is processed timely. May assist with journal entries, and other duties within the finance team as assigned.

How does it get done?

 
Prepare payment vouchers for monthly services and goods. Track all invoices received, vouchers created, payment status, and purchase order encumbrance balances in the internal tracking system.  Complete weekly, monthly reconciliation of invoice and payments, and monthly queries to identify vouchers status. Process change orders for corrections/adjustments needed on purchase orders.  Obtains accurate W9 from vendors and works closely with ASD/DFA to process request.  Communicates with internal staff regarding status of certification of invoices. 

Assist accounts payable and receivable with but not limited to, Enter Journal Entries for correcting transactions, collect revenue payments from customers, ensuring that all are deposited accurately and posted to the Laboratory's financial records. Run reports monthly and track customers with invoices unpaid over 30 days. Make collection attempts via, email, mail, and phone. Assist purchasing team as assigned, create purchase requisitions and/or purchase orders in the State of New Mexico SHARE Financial System, audit general requisition forms received for accurate funding codes, appropriate approvals and determine correct purchasing method(s) needed to process requests. Analyze backup to determine accurate price agreements or vendor quotes are attached.

Department of Health Administrative Services Division employees, Department of Finance and Administration staff and suppliers of the laboratory.

Ideal Candidate

 
Detail orientated individual with the experience and ability to independently, conduct audits, reconciliations, and corrections in an organization that has multiple funding/revenue sources with a solid understanding of the General Accepted Accounting Principles. Ability to multi-task, prioritize workload, and work under pressure in a high-volume position with accuracy ensuring all
deadlines are met. Experience working with the State of New Mexico SHARE Financials Program.

Minimum Qualification

 
High School or Equivalency and two (2) years directly related work experience in accounting, auditing, finance, and/or budgeting. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.

Employment Requirements

 
Must possess and maintain a valid New Mexico Driver's License. Must possess and maintain a current Defensive Driving Course certificate from the State of New Mexico or must pass and receive a Defensive Driving Course certificate. In state and out of state travel may be required. Successful completion of Health Insurance Portability and Accountability Act (HIPAA) is required.

Working Conditions

 
Work is performed in an office setting supporting a fully functional laboratory. There is extensive personal computer and phone usage, and repetitive trunk/arm/hand and neck movements. The fully functional laboratory contains biological, chemical, physical, and radiological hazards. Incumbent will be required to use all applicable safety equipment provided by the employer and follow all safety precautions specified by the employer. Ability to lift/push up to 50 lbs.
