The New Mexico Department of Health is an executive state agency that operates public health services for the state through several divisions. The Public Health Division ensures safety net services to all New Mexicans through various programs and services.  NMDOH works with multiple partners to promote health and well-being and improve health outcomes for all people in New Mexico.  Each Public Health Division employee has an important role to help New Mexicans, and the Public Health office clerk role fills a critical customer service position at the Santa Fe Public Health Office and throughout the NE region.

Why does the job exist?

 
The Office Clerk Operational is a position that provides clerical support for the Health Services Program at the Santa Fe PHO. This position will require travel throughout the NE Region to cover during staffing shortages at any of the following offices Colfax, Guadalupe (Santa Rosa), Los Alamos, Mora, Rio Arriba (Espanola), San Miguel (Las Vegas), Taos, and Union (Clayton). They work collaboratively with a multidisciplinary team to support the various Health Services programs offered, including, but not limited to: Immunizations, Disease Prevention, Tuberculosis, Harm Reduction and Syringe Exchange, Medication for Alcohol/Opioid Use Disorder (MAUD/MOUD), Family Planning, Women's Health, Breast and Cervical Cancer, STD, Well-Child visits and outreach activities such as immunization clinics and health fairs.

How does it get done?

 
The key responsibilities for this position are to provide the highest level of customer service to accommodate Health Services clients.  They monitor provider schedules, call to confirm appointments, update client contacts and insurance information, maintain medical records appropriately, document proof of income, and collect payments when applicable. They effectively utilize electronic records system, which includes the Medicaid portal, NM State Immunization Information System (NMSIIS) entry and support, Trans Act entry, maintain required reports, and provide additional support required within their scope of practice.

Who are the customers?

 
The office clerk position is focused on the population of Santa Fe County. They serve the population of New Mexico and specifically the population of the NE Region (Colfax, Guadalupe, Harding, Los Alamos, Mora, Rio Arriba, San Miguel, Santa Fe, Taos and Union Counties) who might otherwise not have access to services.  The office clerk supports the functions of the medical providers, nurses, clerks and other program staff (such as WIC, Health Promotion, CMS, Emergency Preparedness and Harm Reduction) to achieve common public health goals in Santa Fe County and may be called upon to travel throughout the Northeast Region or to other parts of the state on occasion.

Minimum Qualification

 
Eighth grade education.

Employment Requirements

 
Successful completion of the Health Insurance Portability and Accountability Act (HIPAA) course. Must possess and maintain a valid New Mexico Driver's License. Must possess or obtain Defensive Driving Course Certification from the State of New Mexico.

Working Conditions

 
Work is usually in an office setting with direct client contact and on occasion in the community.  Travel may be required to get to and from other Northeast Region Local Health Offices to support clerical staffing, extensive PC use, extensive telephone usage, lifting up to 30 pounds, bending, filing involving stooping & reaching; attend workshops and meetings.
