The New Mexico State Veterans¿ Home is located on sixteen picturesque acres in Truth or Consequences, New Mexico. It provides long-term and skilled nursing services for honorably discharged veterans, their spouses, or parents of veterans killed in combat action. The facility has 131 nursing home, skilled-nursing living beds. Services for residents are provided 24/7, focusing on maintaining or improving their physical, mental, and psychosocial well-being under a personalized plan of care developed by licensed health professionals

Why does the job exist?

 
The Scheduling, Timekeeping, and Data Entry Clerk supports the nursing department by ensuring accurate staff scheduling, time tracking, and administrative recordkeeping. Responsibilities include managing shift schedules, time-off requests, and coverage to meet patient care needs, while ensuring compliance with labor rules and union agreements.

The role also involves verifying employee hours and entering timekeeping data. Accurate and confidential data entry of staff and scheduling records is essential.

This position utilizes scheduling software and office tools to perform administrative tasks such as filing, processing forms, preparing reports, and supporting internal communication. The role is key to maintaining staff coordination, efficiency, and smooth daily operations within the nursing team.

How does it get done?

 
¿ Develop, maintain, and update nursing staff schedules to ensure appropriate shift coverage based on patient care needs, staffing ratios, and department protocols.
¿ Review and process employee time-off requests, shift swaps, and schedule adjustments while ensuring compliance with labor laws, organizational policies, and union agreements.
¿ Track and verify employee attendance and punctuality using timekeeping systems; identify and report any discrepancies to management.
¿ Accurately input and update scheduling, timekeeping, and personnel data in appropriate digital systems or databases.
¿ Maintain confidentiality and integrity of all staff records, including time records, schedules, and personnel documentation.
¿ Communicate scheduling changes, updates, and reminders to staff in a timely and professional manner via email, phone, or other internal messaging systems.
¿ Prepare and distribute staffing reports, coverage charts, and other scheduling-related documentation as requested by nursing supervisors or department leads.
¿ Serve as a point of contact for scheduling-related inquiries, resolving conflicts or issues when possible and escalating complex matters to management.
¿ Use scheduling software and office productivity tools (e.g., Excel, Word, Outlook) to perform daily administrative tasks efficiently.
¿ Support administrative workflows such as document filing, form processing, and maintaining internal logs and calendars.
¿ Assist with onboarding new nursing staff by entering initial scheduling and timekeeping information and providing basic orientation on related procedures.
¿ Collaborate with HR, payroll, and nursing leadership to support staffing audits, compliance reviews, and internal reporting needs.
¿ Monitor shift coverage proactively and assist in coordinating last-minute replacements in cases of unexpected absences.
¿ Support internal communication efforts related to staffing, shift coverage, and departmental updates.
¿ Perform other clerical or administrative tasks as assigned to support the overall operations of the nursing department.

The primary customer are the brave men and women that answered our nations call, executed their duties and now are unable to live in their respective communities due to failing health.  This job will also support the widows of the service men and women to include parents that have lost children in combat (Gold Star Parents)

Ideal Candidate

 
Proven experience in healthcare staff scheduling, preferably in a nursing department or clinical setting
Strong working knowledge of labor laws, union agreements, and healthcare staffing regulations
Proficient in timekeeping systems and data entry, with a track record of accurate and timely recordkeeping
Familiarity with nurse-patient ratio requirements and shift planning protocols in a healthcare environment
Demonstrated understanding of HIPAA and confidential information handling
Technical Skills
Proficient in scheduling and timekeeping software
Skilled in using Microsoft Office Suite (Excel, Word, Outlook) for communication, reporting, and documentation
Ability to quickly learn and adapt to new digital platforms and administrative tools
Administrative & Organizational Abilities
Excellent organizational skills with the ability to manage multiple schedules, documents, and reporting tasks simultaneously
Detail-oriented with a strong commitment to accuracy and data integrity
Capable of supporting onboarding processes and handling administrative workflows efficiently
Strong verbal and written communication skills for effective interaction with nursing staff, HR, and leadership
Professional and courteous customer service orientation in responding to staff inquiries and resolving scheduling issues
Skilled in managing sensitive conversations related to scheduling conflicts or policy enforcement
Strong problem-solving abilities to handle last-minute shift changes, discrepancies, or emergency staffing needs

Employment is subject to criminal background check pursuant to New Mexico Caregivers Criminal Screening Act, (Sections 29-17-2 through 29-17-5 NMSA 1978 and 7.1.9.1 through 7.1.9.11 NMAC) and is conditional pending results.

Must possess and maintain a valid New Mexico driver's license. 

Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification as a condition of continued employment.

Successful completion of the Health Insurance Portability and Accountability Act (HIPAA) training.

Must sign and observe confidentiality agreement.

Must be able to read, write, speak, and comprehend the English language.

Occasional travel for training & meetings and driving a State of NM owned motor vehicle may be required; Working hours may include weekends, holidays, overtime, and callback hours. Essential functions of the job and specific physical ability requirements will be available at the time of interview or may be obtained at the New Mexico Veterans' Home Human Resources office.

Working Conditions

 
Work is performed in an office setting within a long-term facility with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Walking throughout the facility and frequent communication and interaction with residents, staff, and the public.  Periods of walking, standing, bending pushing, pulling, lifting, and stretching for a variety of activities may be required.  Must be able to function under pressure and stressful situations Health hazards such as exposure to contagious viruses and diseases.  May also include routine exposure to public, fellow employees, and facility resident illness, stressful situation, and bodily fluids, as well as exposure to physical and/or verbal abuse. Occasional travel for training & meetings and driving a State of NM owned motor vehicle may be required; some lifting; extended hours to meet deadlines will be required. Working hours may include on-call, nights, weekends, holidays, overtime, and callback hours.  Essential functions of the job and physical ability requirements will be available at the time of interview or may be obtained at the New Mexico Veterans' Home Human Resources Office
