Registration Coordinator

The Iowa Department of Health and Human Services (HHS), Bureau of Cannabis Regulation (BCR) within the Compliance Division is seeking a Registration Coordinator to join our team in support of the Consumable Hemp Program. This person will ensure that data and documentation are processed accurately and timely, work directly by phone and email with registrants to answer questions.
 
Under the direction of the Bureau Chief and with functional oversight from the Program Manager for Consumable Hemp, the Registration Coordinator will provide frontline support to Consumable Hemp Program, to include:
  • Reviewing Consumable Hemp applications; making independent decisions on whether to approve registrations based upon program policies and procedures; following up with applicants on incomplete registrations, accepting payments and documents from applicants; maintaining applicant files; drafting correspondence to registrants regarding applications and renewals; responding to calls and inquiries by stakeholders and registrants; assisting the BCR Compliance Team with developing and reviewing system analytics, program performance measures, and dashboards; providing input to IT vendors and BCR staff on system upgrades and improvements; working with office staff on improving overall registration processes.
  • Provides assistance to the BCR Program Manager and Bureau Chief by performing administrative duties, including receiving and reviewing mail; corresponding with licensees and registrants, and other program stakeholders; screening callers and visitors on issues related to registration, legal aspects of Consumable Hemp and program operations; preparing correspondence and  at the request of BCR program staff; compiling statistical or narrative information for BCR program staff; reviewing policies and procedures related to the Consumable Hemp program; assisting in procurement and provision of office supplies and equipment; and assisting with budgetary maintenance and projections.
  • Participates in and is an active member of special work groups and teams within the bureau, division, and department focused on quality and performance improvement, staff recognition, and team building. Attends meetings and training with bureau and department staff, and federal or state agencies, as requested. Other duties as assigned, including assignments made in emergency or disasters as mutually agreed upon by the employee and employer.

Requirements

535 Public Health 6 months’ experience, 12 semester hours, or a combination of both related to improving, maintaining, and protecting the general condition of health within society, either on a personal, institutional, organizational, or community basis. Experience may be gained from direct provision of health care or from other ancillary programs and support mechanisms such as government public health departments.

Qualifications

Experience equal to three years of full-time clerical or closely related work;

OR
an equivalent combination of education and experience, substituting graduation from high school, G.E.D. equivalency or satisfactory completion of a recognized correspondence or formal job-related training course at the high school or equivalent level such as that offered by WIN, OEO, CEP, CIVEC or similar programs, for one year only of the required experience;
OR
an equivalent combination of education and experience, substituting nine months or thirty semester hours coursework in an accredited business school, college or university for each year of the required experience;
OR
certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;
OR
employees with current continuous experience in the state executive branch that includes the equivalent of eighteen months of full time experience as a resident treatment worker or Clerk–Advanced.
