POSITION SUMMARY:

The Associate Specialist – Partnerships, Sponsorships & Exhibits holds a senior level technical or administrative position that usually requires several years of experience, typically a minimum of three to five, beyond vocational or technical training to perform complex administrative or technical activities. The Associate Specialist – Partnerships, Sponsorships & Exhibits are responsible for office coordination, use of computer software programs, or management of an activity requiring system coordination and extensive interaction with people, including internal employees and people on the outside.

The Associate Specialist – Partnerships, Sponsorships & Exhibits contributes to the advancement of local public health practice by performing a range of responsibilities related to NACCHO’s memberships and meetings functions. This position provides logistical and organizational support to NACCHO’s meetings and membership team and reports directly to the Manager, Affiliate Partnerships, Sponsorships, and Exhibits.

The Associate Specialist is directly responsible for coordinating key logistics and managing deliverables as part of partner agreements for NACCHO’s Affiliate Business Partner (ABP) program, as well as sponsor and exhibitor agreements for their flagship annual hybrid conferences: the Preparedness Summit and NACCHO360. The position works collaboratively across the Contracts, Finance, IT, MARCOM and Membership and Meetings teams to ensure the effective fulfillment and tracking of agreements and payment of invoices.

Other key functions for this position include working directly with ABP program members to support member benefit deliverables including webinars, focus groups, advertising placements, programmatic team consults and social media coordination and logistics. Additional ABP program responsibilities include recruitment and maintenance efforts, renewal communications, invoicing, payment collection, and tracking deliverables with other responsibilities as needed. This position will also include oversight of processes and procedures to ensure efficient, responsive, and cost-effective management of NACCHO’s annual conferences, and small meetings; sponsorships and exhibits; contracting, invoicing and payments.

This position requires initiative, teamwork and solid organization and technical skills. The work involves partnerships with co-workers, members, vendors, and other external groups, and requires the use of discretion and independent judgment. The Associate Specialist will collaborate with NACCHO staff and members to centralize, streamline, and improve NACCHO’s meetings activities and ensure superior service to partners, sponsors, and exhibitors.

POSITION SPECIFIC DUTIES:

AFFILIATE BUSINESS PARTNER PROGRAM (ABP)

  • Assists with the execution of the Affiliate Business Partner Program, including membership,
  • sponsorship, and exhibits; serves as primary contact with ABP members regarding invoicing.
  • Coordinates and tracks ABP deliverables with the Engagement/Communications Specialist.
  • Creates, documents, tracks, and refines new and existing internal processes and procedures that ensure effective and efficient customer services for Affiliate Business Partners and other non-profit and forprofit prospects who sponsor and exhibits.
  • Updates and maintains ABP membership database records in NetForum.
  • Maintains consistent data updating of all related NACCHO website resources.
  • Coordinates partner renewal campaigns with Manager, Affiliate Partnerships, Sponsorships & Exhibits.
  • Follows up directly with past due ABP members to renew before the end of the 90-day grace period.
  • Develops NetForum queries and reports needed for ABP communications.
  • Assists with marketing the ABP program and benefits to members and prospective members.
  • Provides timely and relevant follow-up to all ABP requests and correspondence.
  • Updates ABP partner data and manages weekly reporting on key membership metrics and KPI’s.
  • Oversees onboarding coordination for new ABP members, including processing invoice payment, scheduling recurring monthly meetings, activating user MyNACCHO accounts, and providing member benefit deliverable specs and supporting request documents.

MEETINGS

  • Supports NACCHO’s annual meetings regarding online and in-person registration, exhibits, and sponsorships for NACCHO’s flagship conferences.
  • Assists in maintaining accurate exhibitor, sponsor, and prospect database records in NetForum.
  • Coordinates the sponsorship and exhibit sales platforms in conjunction with the Manager, Affiliate
  • Partnerships and Sponsorships, relevant organizations, and the annual meetings planner.
  • Contributes to the overall growth of meetings revenue through timely invoicing and payment collection.
  • Establishes and maintains successful member and attendee relationships, including identifying needs while applying skills and knowledge to determine solutions and identify opportunities.
  • Serves as a liaison with Contracts, Finance, IT, and other program staff across NACCHO, ensuring that meetings related inquiries and concerns are addressed in a timely manner.
  • Supports the registration process for NACCHO’s annual conferences and other projects, as needed.
  • Perform other job duties, as needed.

EDUCATION/EXPERIENCE/SKILLS:

The Associate Specialist will have a high school degree or the equivalent and a minimum of three years work experience. An Associate degree or equivalent relevant field and two years related experience; or four years related experience and/or training; or equivalent combination of education and experience preferred. Some persons holding bachelor’s degrees may accept positions at this level in order to gain the experience or exposure needed to obtain a specialist position.

  • Experience working in an association environment preferred.
  • Knowledge of office practices, procedures and equipment.
  • Understanding of professional association issues and practices, including the contracting process, meeting planning, billing, and payment collection.
  • Experience with database support as well as CRM data management and collection.
  • Preferred: Experience working with NetForum and SharePoint.
  • Ability to balance and effectively accomplish multiple priorities within established time frames.

Salary Range: $54,611 - $57,506
